Lighting is one of the few things in an office that every single person notices and almost nobody specifies properly. It rarely gets a dedicated line of scrutiny in the BOQ, it is usually value-engineered late in the project, and it is the first thing people complain about once they move in — screens with reflections, a boardroom that photographs badly on video calls, a floor plate that feels like a hospital corridor at 6pm.
Good office lighting design is not about buying more fixtures. It is about hitting the right illuminance on the right surfaces, controlling glare, and doing it within an energy budget. Here is how to get that right in an Indian fit-out, and where most projects quietly go wrong.
Start with lux levels, not fixture counts
Illuminance is measured in lux, and it is measured on the working plane — typically the desk surface at roughly 750mm above floor level, not on the floor and not at the ceiling. Indian practice generally follows IS 3646 and the National Building Code, which broadly align with the international EN 12464-1 benchmarks for indoor workplaces. As a working set of targets:
- Open-plan workstations and general office areas: around 300–500 lux maintained on the desk
- Meeting and conference rooms: around 300–500 lux, with dimming so the room can drop for presentations
- Reception and lounge: 150–300 lux, deliberately lower and warmer for contrast
- Corridors and circulation: 100–150 lux
- Detailed or technical work areas (drafting, labs, server rooms): 500–750 lux
The word that matters is maintained. Lighting calculations should apply a maintenance factor — usually around 0.8 for a clean, air-conditioned office — to account for lamp depreciation and dust over the life of the installation. A design that hits 500 lux on day one and ignores the maintenance factor will read closer to 400 lux in year three. Ask your consultant for the lux calculation (a Dialux or Relux output) with the maintenance factor stated, not just a fixture layout on the reflected ceiling plan.
Uniformity: the number nobody asks for
Average lux hides a lot. A floor plate can average a perfectly respectable 450 lux while reading 700 lux under the fixture rows and 220 lux in between. That variation is what makes an office feel patchy and tiring.
The metric to specify is uniformity (U0), the ratio of minimum to average illuminance across the task area. For general office work, aim for 0.6 or better in the task zone. Getting there is usually a spacing problem rather than a wattage problem: fixtures spaced too far apart for their mounting height will always produce scallops, no matter how bright each one is.
Glare is what people actually complain about
Nine times out of ten, an “the office is too bright” complaint is a glare complaint, not an illuminance one. The relevant measure is Unified Glare Rating (UGR). For screen-based office work, specify fixtures rated UGR under 19; for rooms with heavy video conferencing, tighter is better.
The three glare mistakes we see most
- Bare-lens panels over screens. Cheap LED panels with a flat diffuser and no optical control put a bright rectangle straight into the reflection on every monitor. Micro-prismatic or louvred optics cost more per fixture and solve it outright.
- Fixtures running the wrong way relative to desks. Linear luminaires perpendicular to the line of sight land in the field of view. Run them parallel to the direction people face where the ceiling grid allows.
- No daylight strategy. An unshaded east or west façade will overwhelm any artificial scheme for two hours a day. Blinds and glazing selection are part of the lighting design, not an afterthought.
Colour temperature and CRI
For Indian offices, 4000K neutral white is the safe default for work areas — 6500K daylight reads clinical indoors, and 3000K warm white is better reserved for reception, cafeteria and lounge zones where you want the space to feel softer. Mixing colour temperatures within a single sightline is the fastest way to make an expensive fit-out look cheap, so lock the specification early and hold it through procurement.
Colour rendering index matters more than most clients expect. CRI 80 is the floor; CRI 90+ is worth paying for in reception, meeting rooms, and anywhere brand materials, video calls or product samples are viewed. It is a small premium on a small proportion of your fixtures.
The energy budget you are already working inside
India’s Energy Conservation Building Code sets lighting power density limits — the watts per square metre a space is allowed to consume for lighting — and a number of states have folded ECBC compliance into their building approval process. Modern LED schemes for offices usually land comfortably under the cap, but the compliance calculation still has to be produced, and it is far easier to do at design stage than to retrofit during approvals. This is one of several sign-offs that can add weeks if it surfaces late, alongside the other NOCs and approvals in an Indian fit-out.
Controls are where the real savings sit. Occupancy sensors in meeting rooms, washrooms and store rooms, and daylight-linked dimming on the perimeter row of fixtures, typically pay for themselves within a few years on a floor of any size. They also make the space behave sensibly out of hours, which matters if your team works across time zones.
What lighting costs in a fit-out
As a rough planning figure, lighting fixtures and their associated wiring tend to account for somewhere in the region of 8–12% of a fit-out’s total cost, sitting inside the broader electrical and MEP services scope. The spread within that band is wide, and it is almost entirely a specification decision: an imported architectural linear system can cost several times a competent domestic panel doing the same photometric job.
When you are comparing fit-out quotes line by line, lighting is one of the easiest places for two bids to look identical and be nothing alike. Check that the BOQ names the make, model, wattage, lumen output, UGR and CRI for each fixture type — not just “LED panel 2×2, 40W, 120 nos”. Without those numbers you cannot tell whether you are comparing like with like, and “or equivalent” clauses get settled in the contractor’s favour later. Verify it before you sign off
Lux levels are one of the few fit-out claims you can test yourself in ten minutes with a handheld meter or a calibrated phone app. Take readings at desk height across a grid on the floor plate, after dark so daylight does not skew the result, and compare them against the design intent. Do it at handover, while you still have commercial leverage — it belongs on the same list as the rest of your snagging and handover checks. A floor that reads 320 lux where the design promised 450 is a defect, and it is far cheaper to fix before the final payment than after.
Lighting sits alongside acoustics as one of the two environmental factors that decide whether people actually enjoy being in a workspace. Both are cheap to design well and expensive to fix afterwards.
